The Operations Support Services Division (OSSD) is currently seeking a dynamic, talented, and hard-working individual to help lead the development and management of the Document Management Center (DMC). Under general direction of the Staff Services Manager (SSM) III, the SSM II is responsible for planning, coordinating, managing, and streamlining the work of the DMC (Mailroom) and Records Management Unit. The ideal candidate will have a positive attitude, demonstrate a high degree of initiative and independence, excellent verbal and written communication skills, be comfortable presenting information to a wide variety of stakeholders, be able to successfully meet deadlines while managing multiple priorities, and proficient using Microsoft Excel, PowerPoint and Word.
Duties include but are not limited to:
- Oversee the administration of the DMC and Records Management Unit (RMU). The DMC teams are responsible for processing of incoming mail, messenger services, workflow processing systems, and imagining documents. The RMU is responsible for subpoena and member record requests, administration of the CalPERS Records Management program and records retention schedules. Provides leadership guidance and oversight for the management of various contracts, maintenance agreements, and inter-agency agreements.
- Provide leadership direction over projects that establish policy and procedures related to external and internal forms administration. Ensures service levels and project and program goals and objectives are met by established deadlines. Point of contact on the submission, review, and approval of all DMC related myCalPERS system enhancements. Provides management direction and leadership over special projects which establish policy and procedures to assure the integrity of the confidential and sensitive documents, financial check controls, and records management functions.
